Track Sales Deals
How-to guideBuild a simple sales pipeline on your project board. Track each deal through stages, manage follow-ups, and let your AI assistant draft reports and surface what needs attention.
01 — Before You Start
Agiflow account
Sign up free or sign in to your existing workspace.
Active deals
A list of prospects or deals you’re currently working — even a rough list works.
AI assistant
ChatGPT, Claude, or any assistant that supports connections.
02 — Set Up Your Pipeline
Create a project that works like a pipeline. Each deal is a task, and columns represent deal stages.
Create a pipeline project
Click New Project and name it something like "Q3 Sales Pipeline" or "Enterprise Deals." Set up columns for your stages — Lead, Contacted, Proposal Sent, Negotiation, Closed Won, Closed Lost.
Add each deal as a task
Create a task for each active deal. Include the company name, contact person, deal value, and next step in the description. Set due dates for follow-ups.
Move deals through stages
As deals progress, drag them between columns. Your assistant can also move tasks when you tell it a deal has advanced — just say "move Acme Corp to Proposal Sent."
03 — Connect Your AI Assistant
Follow the connection guide to link your assistant to your workspace. Once connected, it can read your pipeline and help manage deals.
Connect your assistant at the project level if you don’t want it to see other workspaces. This is especially useful if you track sensitive deal information.
04 — Track Deals and Follow-ups
Once your pipeline is set up, your assistant becomes your daily co-pilot for staying on top of deals:
“What follow-ups do I have this week?”
Scans task due dates and lists every deal that needs action this week, sorted by urgency.
“Which deals have been stuck in the same stage for more than two weeks?”
Identifies stalled deals based on how long they have been in their current column.
“Draft a follow-up email for the Acme Corp deal.”
Reads the deal task description and recent comments to write a personalized follow-up you can send.
“Give me a pipeline summary for our team meeting.”
Creates a report showing deals by stage, total pipeline value, and what closed this month.
