01 — Before You Start
Agiflow account
Sign up free or sign in to your existing workspace.
Client work to track
At least one active client with deliverables — a website, content calendar, design project, etc.
AI assistant
ChatGPT, Claude, or any assistant that supports connections.
02 — Set Up a Client Project
Create one project per client. This keeps work separated and makes it easy for your assistant to focus on one client at a time.
Create a project for your client
Click New Project and name it after the client — "Acme Co Website" or "Smith & Co Content." Use a clear name so your assistant knows which client it is working on.
Add deliverables as tasks
Break the project into deliverables. For a website project: "Design homepage," "Build contact form," "Write about page." Include deadlines and any notes about client preferences.
Set up status columns
Use columns that match your workflow — To Do, In Progress, Client Review, Done. This gives you and your assistant a clear picture of where every deliverable stands.
Keeping clients in separate projects means you can connect your assistant to just one client at a time. This prevents information from one project leaking into another.
03 — Connect Your AI Assistant
Follow the connection guide to link your assistant. You can connect at the workspace level to see all clients, or at the project level to focus on one client at a time.
04 — Plan and Track Deliverables
With your project set up, your assistant can help you stay organized across all your client work:
“Break down the website project into tasks with deadlines for the next two weeks.”
Creates a task list with realistic deadlines based on the deliverables you described.
“What deliverables are due this week across all my projects?”
Checks all client projects and shows a consolidated view of upcoming deadlines.
“Create a status update for the Acme Co project that I can send to the client.”
Reads task statuses and writes a professional update summarizing progress and next steps.
“Move the logo design to Client Review and add a note that I sent the files.”
Updates the task status and adds a comment with the delivery note for your records.
